Thank you for visiting the Turtle Mountain Housing Authority (TMHA) website and reviewing our Privacy Statement. This statement addresses collection, use of, and access to information that may be obtained through use of the TMHA webpages. This statement covers the following topics:

Personal Information

“Personal Information” is information about a natural person that is readily identifiable to that specific individual. Personal Information includes such things as an individual’s name, address, phone number, social security number, email address and, in some instances, tribal enrollment status, bank account, credit card, debit card, or other rent payment information.

During a session on our website, a user may affirmatively submit information to Turtle Mountain Housing Authority by, among other means, email or filling in and submitting online forms.  We collect no Personal Information about you unless you voluntarily participate in an activity that asks for information. If you choose not to participate in these activities, your choice will not affect your ability to use any other features of our web site.

Users are cautioned that the collection of Personal Information requested from or volunteered by children on-line or by email will be treated the same as information given by an adult, and may be subject to public access through in response to subpoenas or other legal instruments that authorize access.

Personal Information submitted voluntarily to Turtle Mountain Housing Authority through online web forms, email subscriptions and messages, or through interactive web-based applications will be used to respond to your message and to help us respond to your requests.  We may use your email to respond appropriately. The information you submit will remain private; however, as a tribal governmental agency, Turtle Mountain Housing Authority is governed by the laws of the Turtle Mountain Band of Chippewa Indians.  Any information that we receive through use of our site is subject to the same provisions as information provided on paper.

 

Turtle Mountain Housing Authority and its various departments maintain lists of subscribers who have asked to receive periodic email updates about various topics.  Any recipient of a Turtle Mountain Housing Authority email may unsubscribe from future messages via a link at the top or bottom of each email message.  We do not sell, rent, or otherwise disclose our list of subscribers to persons or organizations outside TMHA unless legally required to do so in connection with law enforcement investigations or other legal proceedings. 

 

 

As a tribally designated housing entity (TDHE) of the Turtle Mountain Band of Chippewa Indians, TMHA is not subject to the Freedom of Information Act (FOIA) (see 24 CFR 1000.556) nor is it subject to the Federal Privacy Act (see 24 CFR 1000.558).

TMHA does not associate this data to individual user identities.

**Web forms: TMHA may use web forms on this site. These forms require users to give contact information that may be personally identifiable. Information collected may include the following:

User Accounts

Certain web-based applications or features on TMHA’s webpages may require users to create an account in order to access full functionality or restricted areas of the site, including paying your rent online. Account creation requires users to provide a valid email address, a first and last name, and, in some instances, bank account, credit card, debit card, or other rent payment information. We use this information to communicate with you, to identify content you create or request with the account, and to process your rent payments, as applicable. Session cookies are required with user accounts in order to maintain a user’s login while interacting with the site.

Use of collected information: Contact information from the registration form is used only to send material for TMHA business related purposes for which it was collected.

  • TMHA will use your email to respond appropriately. This may be to respond to you, to address issues you identify, to further improve our web site, or to forward the email to another agency for appropriate action.
  • The information collected by TMHA is used to identify users accessing secure content, and to pre-fill forms with information about the user submitting the form.

 

Distribution of collected information:

 

  • This information is not reported or used in any manner that would reveal personally identifiable information, and will not be released to any outside parties unless we are legally required to do so in connection with law enforcement investigations or other legal proceedings. The information you submit will remain private; however, as a tribal governmental agency, Turtle Mountain Housing Authority is governed by the laws of the Turtle Mountain Band of Chippewa Indians.
  • TMHA will not distribute or sell personal information to third-party organizations.

 

Access to information collected:             

 

  • User must consent to the collection and use of the information.
  • User will have the option to prohibit such collection and use of their information; and can elect to provide TMHA with the required information via mail, in-person or by email, if desired.
  • TMHA site does not conduct or use analytic tracking. TMHA will solicit feedback from users as a means of improving its online performance.
  • TMHA will download collected information as timely as possible, and minimize the length of time the information will be stored online.
  • TMHA does not sell, rent, or otherwise disclose our list of subscribers to persons or organizations outside TMHA unless legally required to do so in connection with law enforcement investigations or other legal proceedings. 

 

Safeguards and protection of information:

  • TMHA website is protected by a firewall to safeguard information collected on its site.
  • All information will be transferred to secured system files with physical access controls limited to TMHA staff authorized to handle confidential information.
  • Alternate ways for users to provide confidential information include providing information to TMHA via mail, in-person or telephone.
  • TMHA site protocol for establishing secure links between networked computers includes a secure protected portal for the transmission of confidential information.

 

Privacy Statement Revisions:

 

This Privacy Statement was last revised on August 12, 2022. TMHA may change this Privacy Statement at any time and for any reason. Users are encouraged to review this Privacy Statement each time the TMHA website is visited.

 

If TMHA makes a significant change to its Privacy Statement, TMHA will post a notice on the homepage of its website for a period of time after the change is made.

 

Responsibility for External Sites:

 

TMHA site may contain links to other web sites. Some of those sites may be operated by third parties. TMHA may provide the links for user’s convenience, but TMHA does not review, control, or monitor the privacy practices of sites operated by others.

  • TMHA site is hosted by a GoDaddy Inc.
  • Information collection is hosted by Microsoft Inc, and Adobe Inc. via DocuSign secure processing.

 

TMHA is not responsible for the performance of websites operated by third parties or for the user’s business dealings with them. Therefore, whenever user’s leave the TMHA web site, it is recommended they review each website’s privacy practices and make their own conclusions regarding the adequacy of these sites’ practices.
